Applies to member-only events and public events organised by Black and Being Essex CIC (BABE).
1. Scope of this policy
This policy applies to all paid BABE events, activities, workshops, social gatherings and other ticketed experiences, whether they are exclusive to BABE members or open to the general public.
By booking an event and making payment, attendees agree to the event terms communicated at the time of booking, alongside this policy.
2. Event payments and deposits
Payment may be required in full or as a deposit to secure a place at an event. Deposits may be used to help BABE confirm attendee numbers, secure venues, book facilitators and cover other event-related costs.
Some events may require a minimum number of attendees before they can proceed. Where applicable, this will be communicated before payment is taken.
For events where the venue or final arrangements have not yet been confirmed, BABE will communicate the relevant details as soon as reasonably possible. Any specific conditions relating to deposits, payment deadlines or minimum attendance requirements will be shared before booking.
3. Cancellations and refunds requested by attendees
As a general policy, payments for BABE events are non-refundable if an attendee chooses to cancel, can no longer attend or does not attend the event.
BABE is unable to guarantee refunds for personal circumstances, changes in availability or other reasons preventing an attendee from attending.
Where possible, BABE may consider a request to transfer a booking to another eligible attendee or offer an alternative arrangement. Any such arrangement is at BABE’s discretion and is subject to the circumstances and the event’s requirements.
This policy does not remove or restrict any rights to a refund or other remedy that an attendee may have under applicable law.
4. Events cancelled by BABE or the venue
If an event is cancelled by BABE or the venue, the organisers will assess the circumstances and the options available to attendees.
Depending on the circumstances, this may include rescheduling the event, transferring bookings to a new date, offering an alternative arrangement or issuing a refund.
A refund is not automatic solely because an event is cancelled or changed; however, any refund or other remedy legally due to an attendee will be honoured. The outcome will depend on the circumstances, the arrangements already made and any applicable legal obligations.
Where a refund is appropriate, BABE will communicate the process and expected timeframe to affected attendees.
5. Changes to event arrangements
BABE reserves the right to make reasonable changes to event arrangements where necessary, including changes to timings, activities, facilitators or venues.
Where a significant change affects an attendee’s booking, BABE will communicate the change as soon as reasonably possible and explain any available options. Attendees’ statutory rights will remain unaffected.
6. Late arrivals and non-attendance
Attendees are responsible for arriving at the advertised time and following any event-specific arrival instructions. Late arrival or failure to attend does not ordinarily qualify an attendee for a refund, subject to applicable legal rights.
7. Communication and enquiries
Any questions about event payments, cancellations, transfers or refunds should be directed to the BABE organising team through the contact details provided in the event information.
BABE aims to handle enquiries fairly, consistently and with consideration for both attendees and the financial commitments involved in delivering community events.
8. Legal rights
Nothing in this policy is intended to exclude, limit or override any rights that attendees have under applicable UK law. Where this policy conflicts with a legal entitlement, the applicable legal entitlement will take precedence.
